Setting Up Team Roles and Permissions for Your SMS Account

5 min read

As soon as more than one person is sending campaigns from the same account, access control stops being optional. SimpliSend's account model is built around roles and permissions from the start, rather than a single shared login everyone uses.

The built-in roles

Every account starts with four system roles: Owner (the account creator, full access, cannot be removed while they're the last one), Admin, Manager, and Member, each with progressively narrower default permissions. These system roles can't be edited or deleted, which keeps a sensible baseline always available even if someone changes the custom role structure later.

Custom roles for your own structure

Beyond the four defaults, an account with the right permission can create custom roles scoped to exactly the permissions a specific job needs - a "Campaign Sender" role that can create and send campaigns but not manage billing or team members, for example. This matters most for larger teams where job functions don't map cleanly onto Owner/Admin/Manager/Member.

Inviting teammates

New team members are added by invite, either by email or SMS, and land in the role you assign at invite time rather than needing to be reconfigured after they join. An invite can be resent if it's missed, and revoked before it's accepted if it was sent to the wrong person.

A sensible default setup

  • Keep Owner to the account holder or a small number of trusted people
  • Give day-to-day campaign staff a role that can send messages but not manage billing
  • Reserve user and role management for Admins, not every Manager
  • Review who has access periodically - remove access when someone leaves rather than letting it linger

Every action taken on the account - role changes, user removals, campaign sends - is recorded in an audit log visible to Admins, so "who changed this" is always answerable rather than a guess.
